NDIS Worker Screening Check by State: VIC, NSW, QLD, SA, WA and More

NDIS Worker Screening looks different in every state. Here is what providers need to know about state-specific application processes, mutual recognition, and how AuditCore tracks checks across multiple states.

The NDIS Worker Screening Check (NDISWC) is a national scheme, but it is administered by each state and territory. The assessment criteria are the same, but the application portal, processing times, and associated checks vary. AuditCore tracks NDISWC status and expiry for every worker regardless of which state issued their clearance.

Who Needs a Worker Screening Check?

  • Paid and unpaid workers in risk-assessed roles — anyone with more than incidental contact with NDIS participants
  • Contractors and volunteers (state dependent — check your state's specific rules)
  • Anyone involved in risk-assessed roles regardless of employment type
  • NDIS Practice Standards require valid checks before engagement — not after

When to Renew?

  • Most states require renewal every 3 years (VIC and NSW: every 5 years; NT: every 2 years)
  • Renew before expiry to avoid gaps — do not wait until the check has lapsed
  • Track expiry dates and set reminders at least 90 days before the renewal date

National Principles

All states and territories follow the National Principles for Child Safe Organisations, ensuring a consistent approach to keeping people safe. While the check is administered state-by-state, a valid clearance in one state is recognised nationally through mutual recognition — a worker cleared in Victoria can work in any other state or territory without obtaining a new check.

IMPORTANT: Requirements can change. Always check your state government website for the latest information. NDIS providers must verify and keep valid screening checks on file before workers start and throughout engagement.

How the National Scheme Works

A worker who obtains an NDIS clearance in one state is cleared to work in any state or territory — this is called mutual recognition. However, the clearance is issued by the state where the worker applied, and renewal must happen in the same state. AuditCore records the issuing state alongside the clearance number and expiry date for each worker.

State-by-State Application Portals and Processing Times

AuditCore's Worker Compliance module tracks NDIS worker screening status by state — storing check numbers, expiry dates, and clearance types for every team member in one place.

Who Needs an NDIS Worker Screening Check

The NDISWC is required for all workers in a risk-assessed role — defined as any role involving more than incidental contact with NDIS participants. This includes direct support workers, team leaders, supervisors, managers with participant contact, and workers in roles that give access to participant records or homes.

  • Direct support workers — always required
  • Team leaders and coordinators — required
  • Managers who have direct participant contact — required
  • Administrative staff with no participant contact — not required (but good practice)
  • Volunteers with participant contact — required
  • Contractors with participant contact — required

Best Practices for Providers

  • Verify before workers start — never allow a worker to begin in a risk-assessed role without a current check
  • Track expiry dates and set reminders — do not rely on workers to self-report renewals
  • Keep copies of valid checks securely on file and readily accessible for auditors
  • Include WWCC requirements in contractor agreements — contractors are your responsibility
  • Regularly audit screening compliance during internal audits — not just when external audit is approaching

Interim vs. Clearance

In some states, a worker can commence in a risk-assessed role while their NDISWC application is being processed, as long as they have applied and received an interim notice. AuditCore records interim notice status separately from full clearance — so you can see at a glance which workers are on interim and when their full assessment is expected.

How AuditCore Simplifies Screening Check Compliance

For providers who operate across multiple states, AuditCore tracks each worker's NDISWC by the issuing state, clearance number, and expiry date. Expiry alerts are sent at 90, 60, and 30 days before the check expires. If a worker's check lapses, AuditCore flags them as non-compliant and alerts their manager — preventing the scenario where an uncleared worker is providing NDIS supports.

  • Centralised register of all worker checks — track, verify and store checks in one secure place
  • Expiry reminders — automated alerts so nothing falls through the cracks
  • Document management — audit-ready records to demonstrate compliance
  • Compliance reports — instant visibility of screening status across your entire workforce
  • Audit ready — stay compliant across all states and territories with confidence
